Starting at a minimum fee of £5 per month (+VAT), Xero Payroll can take care of all the tedious, time-consuming data entry and calculating that makes business owners dread payroll. If you’re new to Xero, it’s important to know that this software is based in the cloud – essentially meaning that none of your data is tied to your computer or mobile phone, but is instead stored and accessed on the internet. Think about it a bit like your Facebook profile; you have a secure account that is accessible from different computers and phones, all while keeping your information private and not saving it on your device unless you specifically request this. Xero works in a similar way and its payroll extension is no different. You’ll be able to access all your payroll information from any device, as long as you have your login and password.

Into the more nitty-gritty of payroll, Xero allows employees to put in holiday requests, sick days, or any other type of leave which can then be approved by managers. You will need to specify your location as things such as sick pay may vary from region to region, but is automatically updated by Xero.

You can also easily put together timesheets, namely digital timesheets, for you, your employees, and your accountant to show at a glance, who was working, on what days, for how long, and what they were responsible for. Finally, Xero also creates an automatic journal with all of the payroll information for each day, giving you the opportunity to easily look back on past payroll records when necessary. This may be of particular interest around late February, early March, when most businesses start to prepare for the new tax year starting in April.

It's important to consider what type of business is ideal for using Xero Payroll – whilst automation and connectivity are amazing features, there may be Xero applications specifically designed for certain businesses or industries in mind. Xero’s payroll extension is unfortunately not very compatible with larger businesses with 20 or more employees. It is very effective for small and medium sized enterprises, however, it’s limited in its processing of complex timesheets, holidays and pensions. When is the best time to change payroll software?

Of course, there’s no time like now!
